Put the robots to work: Save your small business with automations and AI

Every solo founder eventually hits the same wall: the realization that they need another pair of hands. I've hit that wall myself recently.


For most solopreneurs and small businesses, that might mean hiring an assistant. But as a founder whose superpower is building systems, my next hire is usually an automation instead.


Not because tech or AI is replacing people. Our tools are now reliable enough (and cheap enough) to do our admin work for us, which means, we get freed up to do the stuff we want (i.e. the stuff we're actually good at).


Most solopreneurs and small businesses try to implement AI by giving their AI tools vague job descriptions, then they feel let down when nothing changes. But unfortunately, "run my business," "do my marketing" and "handle my admin" aren't real job descriptions. They're wishes from a very tired, burnt out founder doing it all.


What we should actually be doing to get the most out of our tech stack is treating every AI tool like a minion, yes, those minions: one job, one name, one clear brief. 🍌


If you take that approach (even for one task), you'll immediately feel the difference. "Summarize my week" can easily fall flat, but...


"Every Friday at 10:00AM PT, read my call transcripts, emails, and notes, and pull my top 3 wins and 1 blocker into a short recap" turns into a minion that actually works.


But also, we shouldn't all get caught up in the hype. Just because AI is changing everything right now, doesn't mean it needs to BE everywhere.


Some of your best minions aren't chatbots at all. They're automations.


Some of the most reliable, most "set it and forget it" minions on my team aren't Claude or ChatGPT. They live inside Zapier: some as plain old Zaps, some as Zapier Agents, which blend the boring trigger-and-action stuff and the judgment calls in one pass.


Wait, what's a Zap? (And what's a Zapier Agent?)


If you're not familiar with Zapier (pronounced zap-ee-yer, rhymes with happier), a Zap is an automation that watches for one thing to happen, then does another thing automatically. Simple ones just move data around. Like when a new lead fills out your form, they get added to your CRM and a welcome email goes out. No thinking required, it either fires or it doesn't.


A Zapier Agent is the leveled-up version. Same trigger-and-action backbone, but with an AI step built in that can make a call, not just follow a rule. Instead of "always send this exact email," it's "read the lead's message and draft a reply that actually responds to what they said."


That's the real unlock: you're not choosing between "dumb automation" and "smart AI assistant" anymore. The best minions can blend both. There's the reliability of a trigger you never have to think about, plus the judgment of AI where it actually helps.


So instead of the old zap, now when a new lead fills out your form, an Agent reads their message, tags them in your CRM/marketing system by intent, and drafts a personalized reply. When someone books a call, it lands on your calendar, and an Agent scans your notes from last time so you walk in prepared. When a client signs a contract, the invoice generates itself.


Some of that you didn't touch. Some of it a robot thought about first. Either way, the grunt-work is now off your plate.


The follow-up problem, solved without you touching it


Now, it's my greatest pleasure to introduce you all to my newest hire: Follow-Up Frank. No, actually not a hire, just an agent I built.


Here's how I did it:


  1. I finish a client call

  2. Transcript gets sent to the agent

  3. Agent determines based on my CRM, is this a client call?

    1. If yes, proceed.

    2. If no, stop.

  4. Agent reads through the transcript and drafts a follow-up that calls out action items, decisions made, and even does a preliminary round of research when I say "let me look into that for you."

  5. Set up once, runs forever, gets smarter without you touching it.


This is the kind of thing that saves solo founders hours a week. And it's really not that smart or complex. What's great about this is that this agent never forgets, never gets busy, and never tells itself "I'll do it tomorrow."

I've been collecting the Zaps that actually move the needle for solopreneurs. The ones that handle real-life bottlenecks, and solve real-life business problems (not just "connect two apps because you can").
